Background

Blackstone Talent Group, a leading recruitment firm, has been leveraging the Beeline platform for their job posting process. Beeline, a vendor management system (VMS), is a centralized tool that helps organizations manage their contingent workforce. It provides a streamlined process for posting jobs, tracking applicants, and managing contracts. Blackstone Talent Group uses Beeline to receive updates on new job postings and changes to existing jobs.

Beeline sends emails to Blackstone's recruitment team for every new job and updates to existing jobs. The Recruitment Manager reviews these emails and if the job aligns with Blackstone's interests, the details are fetched from Beeline and added to TargetRecruit, a Salesforce application. If the job inside Beeline was updated or modified, the corresponding changes are taken from Beeline and updated inside TargetRecruit. This process is repetitive and time-consuming. To address this, Blackstone Talent Group is considering implementing an automation solution provided by the IntelliBuddies RDA platform. This platform can automate the process of copying details from the Beeline portal into Salesforce, thus reducing the burden on the Recruitment Manager. The Beeline portal sends an email to the corresponding recruitment managers on various events. These keywords trigger specific actions in the automation process. The implementation of the IntelliBuddies RDA platform can potentially streamline Blackstone Talent Group's recruitment process, making it more efficient and allowing the Recruitment Manager to focus on tasks that require their expertise.

Solution

The proposed solution involves automating the current process using IntelliBuddies AI-driven RDA platform. The automation approach is designed to streamline the job posting process and reduce the manual workload on the Recruitment Manager.

A dedicated email inbox will be set up for IntelliBuddies task automation. All emails received from the Beeline portal will be auto-forwarded to this dedicated inbox. The Recruitment Manager will manually review and forward new job posting emails to this inbox. This ensures that new jobs are posted to TargetRecruit only if they are approved and forwarded by the Recruitment Manager.

The task Automation will be scheduled to execute the following process:

  1. IntelliBuddies read the emails from the dedicated inbox and verify if the Subject contains one of the specified keywords. If the email does not contain any of the specified keywords, it will be ignored, and the Buddy will move on to process the next email.
  2. If the subject keyword matches 'New Request', and if the sender is not Beeline, the process will extract the request-Id from the body of the email.
  3. If the subject keyword matches any other keywords, the process will extract the Job ID and the type of action needed by reading the Subject of the email.
  4. Depending on the action (New Request / Modified / Updated), the process will log in to the Beeline website, navigate to the detailed tab of the request(job) based on the Job ID extracted, and read the necessary data.
  5. IntelliBuddies will then log in to TargetRecruit. It will perform the action described by the table defined as part of step-4 above.
  6. Finally, the Task automation will email the corresponding Recruitment Manager the automation execution status and the required details.

This solution aims to automate the repetitive tasks involved in the job posting process, allowing the Recruitment Manager to focus on more critical business decision-driven tasks.
